|Office Assistant / Apprenticeship|

|Main job purpose:
The Office Assistant should help generally around the office performing any tasks at the reasonable request of any member of staff.
The Office Assistant should be of smart appearance and attire should be suitable to the workplace at all times. When speaking to customers, should always be polite and helpful. The assistant is often the first point of contact with clients from the firm and the impression made by the Assistant is of great importance to the firm and customers alike.
|Duties and responsibilities (regular activities in order of importance):|
|1.||Post- to collect the Royal Mail & DX in the morning, check and deal with incoming post items as directed by the fee earners, assemble the afternoon post, prepare it for dispatch and take the DX to Livingstons and mailed items to the Post Office daily.|
|2.||To administer electronic and paper filing systems which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.|
|3.||To prepare and serve tea and coffee to members of staff as instructed, both morning and afternoon and wash up.|
|4.||To cover Reception and all related duties over some lunchtimes and when required to cover sickness and holidays.|
|5.||To distribute completed work to the Fee Earners and collect work when necessary.|
|6.||To Scan and sort out incoming post to the Client files in our software system|
|7.||To shop for catering and cleaning materials when requested|
|8.||To undertake photocopying and collation of documents/Court bundles when requested.|
|9.||To retrieve dead files, Probates, Wills and deeds when requested.|
|To undertake any specific training when required to do so and take responsibility for own self-development.
To undertake any other task you are requested to carry out that is commensurate with your employment.
